How to use Tabletop Coach

Step-by-step guide for captains and players — 13 steps

Steps marked Captain / Coach require that role on the team.

Create or join a team

Everyone

Go to the Teams tab. Captains can create a new team; players can join via an invite link shared by their captain.

Add team members

Captain / Coach

From the Team page, tap Add Member. Assign each member a role: Player, Coach, or Captain.

Create a tournament

Captain

Go to Tournaments → Create Tournament. Fill in the name, date, format, number of rounds, and how many teams are competing.

Set player army lists

Captain / Coach

Open the tournament and tap each player's row to set their faction and detachment for this event. Army lists are set per-tournament, so players can field different armies across events.

Add opponent teams

Captain / Coach

Open the tournament and tap Opponent Teams. Add each team you may face, then add their individual players with faction and detachment details.

Make pre-round predictions

Everyone

Before pairings are announced, each player submits their matchup predictions against each potential opponent on the Predictions tab inside the tournament.

Create a round & assign pairings

Captain / Coach

Tap Create New Round inside the tournament. Choose the opponent team and use the pairings engine to assign your players to tables against their opponents.

Lock pairings

Captain / Coach

Once pairings are finalised, tap Lock Pairings on the Pairings page. This prevents further changes while the round is in progress. Players can now see the scoring page.

Enter match scores

Everyone

Go to the Round → Scoring tab. Each player enters their round-by-round predictions and final match score. Scores save automatically. Captains can request score updates via push notification.

Send & request in-round instructions

Everyone

During the round, players use the status row at the bottom of their scoring column to signal their game state: Can Push, Can Hold, Can't Push, or Can't Hold. Tap the CALL button to flag that you need guidance — captains and coaches see a highlighted alert and can tap Respond to acknowledge it. Captains and coaches send a tactical instruction (Push, Hold, or Proceed) using the dropdown at the top of each player's column; the instruction appears instantly on the player's device.

Lock the round

When all scores are in, lock the round from the Round Overview page. Locked rounds show full results to all players and hide the notification buttons.

End the tournament

Captain / Coach

Once all rounds are complete, tap End Tournament on the tournament page and record the team's final placement. The tournament will move off the Home screen and show a placement badge in the Tournaments list.

Analyse results

Everyone

Head to the Analytics tab to review performance across tournaments. Filter by faction, detachment, opponent, or time period to spot trends, identify strong matchups, and find areas to improve.

Common questions

How do I join a team?

You need an invite from your team captain. If you're a new user, your captain sends you an invite email from the Team page — click the link in that email to create your account and join the team automatically. If you already have an account, your captain can add you directly and you'll receive a push notification.

My invite link has expired.

Invite links are valid for 24 hours. If yours has expired, ask your team captain to cancel and resend the invite by going to the Team page → Manage Members removing/cancelling your invite, and reinviting you. You'll receive a fresh link. If you don't receive it within a few minutes, check your spam folder.

Why can't I create a tournament?

Only team captains can create tournaments. If you're a player or coach, ask your captain to create the tournament and add you to the team first.

I'm not receiving push notifications.

Make sure you've allowed notifications for Tabletop Coach in your device settings. On iPhone: Settings → Tabletop Coach → Notifications → Allow Notifications. On Android: Settings → Apps → Tabletop Coach → Notifications. You must also be signed in to the app for notifications to reach your device.

Why can't I edit my score?

Scores can't be edited once the round has been locked by your captain or coach. If you need a correction, ask your captain to contact us.

How do I update my army data?

When updated faction or detachment data is available, a red dot will appear on the Profile tab. Go to Profile and tap the 'Tap to refresh' banner to apply the update. Your existing match history is not affected.

Can I use Tabletop Coach on a desktop or laptop?

Yes — the web app at app.tabletopcoach.com works in any browser. The iOS and Android apps give the best match-day experience, but the web version is useful for tournament setup and reviewing analytics on a larger screen.

What happens to my data if I cancel my Pro subscription?

All your existing tournaments, teams, and match history are preserved. You'll revert to the free tier limits (1 team, 3 tournaments) but won't lose any historical data.

Can I change my army list mid-tournament?

Army lists (faction and detachment) are set per tournament by your captain or coach. If you need a change, ask your captain to update your player configuration in the tournament.

Things to know

A few things that catch new users out on match day.

Submit predictions before pairings are locked

Once your captain locks pairings, the prediction window closes. Fill in your matchup predictions as soon as the opponent team is announced — you can always update them until the lock.

Enable notifications before match day

Push notifications are how your captain sends tactical instructions and score requests to your device during a round. Set them up before the tournament, not during.

Scores save automatically

You don't need to tap a Save button when entering round scores — they save as you type. If you close the app mid-round, your progress is preserved.

Use the Call button when you need guidance

If you're unsure about a tactical decision during your game, tap the Call button at the top of your scoring column. Your captain and coaches are alerted immediately and can respond with an instruction.

Army lists are set per tournament, not per team

Your faction and detachment can differ from one tournament to the next. Your captain sets your army list inside each tournament — check the tournament view to confirm yours is set before the event starts.

Lock pairings before the round begins

Captains should lock pairings as soon as they're finalised. Locking makes the scoring page visible to players and prevents accidental changes once games are underway.
